The personal information provided by you within your online application or online profile will be used for the purpose of matching and assessing your skills and experience against job opportunities that arise within Airservices.

By submitting your application to Airservices, you will supply Airservices with personal information, including application data, job history and contact details.  Please note that, once entered, your personal information will be stored by Airservices and may be used by Airservices for the purposes set out below.

By submitting your personal information, you acknowledge and agree that you have read and understood this Privacy Statement and the Privacy Policy, and consent to the collection, handling, use and disclosure of your information as set out in this Privacy Statement and the Privacy Policy. This Privacy Statement must be read in conjunction with Airservices’ Privacy Policy, which is available at https://www.airservicesaustralia.com/privacy-policy/.

Once submitted, Airservices may use your information for the following purposes:

  • to review and assess your application in accordance with Airservices’ recruitment policies and procedures (including conducting, where relevant, background and reference checks and interviews);
  • to communicate with you in relation to your application;
  • to process your application in accordance with Airservices’ administrative functions, including for statistical analysis as de-identified and aggregated data;
  • to comply with our legal or regulatory obligations; and
  • as otherwise specified or permitted in the Privacy Policy.

You acknowledge and agree that, in carrying out the above activities, your information may be used by or disclosed to any of Airservices’ contractors, agents, or service providers worldwide and may be transferred to jurisdictions that may not have data protection laws with equivalent protection to those of Australia. If your application is successful, your information will form part of your employment records and will be retained by Airservices accordingly.  Airservices will handle your information in accordance with the Privacy Act 1988 (Cth), applicable data protection laws, and your employment contract.

You are not required to submit your personal information, but Airservices may not be able to accept or process your application for employment if that information is not supplied.

1. Overview

The Privacy Act 1988 (Cth) (Privacy Act) requires Airservices to notify an individual of certain matters when collecting personal information. This Privacy Statement contains those matters in regard to the handling and management of your application for employment, and if successful, your employment with Airservices (including, account creation in corporate IT systems to enable you to perform your duties).

This Privacy Statement must be read in conjunction with Airservices' Privacy Policy, which is available at https://www.airservicesaustralia.com/privacy-policy/.

2. What is 'personal information'?

Personal information is defined in section 6 of the Privacy Act as 'information or opinion about an identified individual, or an individual who is reasonably identifiable whether the information or opinion is true or not; and whether the information or opinion is recorded in a material form or not'.

3. Why Airservices collects personal information

Airservices collects personal information where it is reasonably necessary, or directly related to our functions or activities. Airservices collects personal information (including sensitive information where necessary), where it is reasonably necessary for, or directly related to, the management of your employment.  These functions or activities include, but are not limited to:

  • recruitment processes and reviews, including psychometric testing;
  • medical assessments;
  • national police checks;
  • security clearance assessments;
  • administration of taxation and superannuation;
  • performance assessment and management; and
  • personnel matters including, disciplinary action, fitness for duty processes and code of conduct matters.

4. Type of personal information Airservices collects

Airservices may collect the following examples of personal information. This may be done with your consent, or at times without your consent, where one of the exceptions under the Privacy Act applies:

  • employee, referee and emergency contact details
  • applications for employment and supporting documents
  • place and date of birth, to initiate Employment Suitability and Security Clearances (where required)
  • gender data, to inform our success in attracting and developing talent equally, at all levels
  • diversity information for benchmarking our performance with regards to building a diverse workforce
  • selection committee reports
  • employment contracts, and other records relating to terms and conditions of employment
  • details of financial and other personal interests supplied by employees and their immediate family members for the purpose of managing perceived or potential conflicts of interest
  • proof of Australian citizenship
  • certified copies of academic qualifications
  • records relating to salary, employment benefits and leave
  • medical certificates or health related information supplied by an employee or their medical practitioner
  • taxation details including tax file number
  • banking information necessary to pay salary and wages
  • superannuation contributions
  • information relating to employee's training and development
  • information about an employee's performance.

5. What happens if Airservices does not collect personal information?

If Airservices does not collect personal information from you, we may not be able to progress your application for employment, provide you with access to our systems, provide guidance for performance management matters, or it may result in financial consequences for you, such as higher taxation charges.

6. How Airservices uses or discloses personal information

Airservices may use, collect from, or provide, your personal information to the following parties:

  • the Australian Taxation Office;
  • superannuation funds including AvSuper;
  • Commonwealth agencies for employment related purposes;
  • your nominated representatives, authorised agent or referees;
  • agents, contractors or service providers engaged by Airservices to carry out or assist its functions and activities; and
  • medical, allied health and rehabilitation providers.
  • establishing you on Airservices' systems, including (but not limited to) payroll, record management, recruitment reviews and appeals;
  • analytics systems (for the purpose of internal and external reporting), including using de-identified candidate information to determine diversity in the recruitment process;
  • workforce planning, learning and development, and performance management; and
  • synchronising your details to various authentication systems housed in Airservices data centres located in Australia, as well as storage of copies hosted in cloud-based infrastructure (as a service and software) as service offerings which are not exclusively hosted in Australia and may require your data to be stored and processed offshore.

In the event that you are unsuccessful in gaining a position with Airservices, your application will be retained (in accordance with applicable record keeping requirements) for reporting and auditing purposes and will be accessible by Airservices officers where reasonably necessary or directly related to associated functions or activities.

7. Disclosure of personal information overseas

Airservices may disclose certain personal information to contracted third parties located overseas for the purpose of providing services to or for us, including the storage and processing of such information, systems administration, and systems maintenance purposes, or if we are authorised or required by law.

8. How to access and/or correct personal information

Under the Privacy Act you have the right to seek access to personal information Airservices holds about you.  You are also able to ask that we correct that personal information. If you make a request, we must give you access to your personal information, and take reasonable steps to correct it if we consider it is incorrect, unless there is a law that allows or requires us not to. If you believe the information held by Airservices requires amendment, a written request should be sent to the Privacy Officer at privacy@airservicesaustralia.com outlining what aspects of the information requires amendment. There is no cost for making a written request which will be processed within 30 days.

For security reasons, Airservices reserves the right to ask for proof to confirm the identity of the person seeking access or correction to personal information before responding to such a request. Airservices also reserve the right to deny access for any reason permitted under applicable law. If Airservices denies access or correction, Airservices will provide written reasons for such denial.

9. Making a complaint to us

Airservices will investigate any complaint about its handling of personal information. Complaints should include enough detail for the Privacy Officer to identify the nature of the issue. All requests (including complaints about how Airservices has managed personal information) should be sent to the Privacy Officer at privacy@airservicesaustralia.com.
